General Admin

We are a team of 8 ladies, perfectly suited to organising and running your back-office admin support.

As virtual assistants we do this from our own office premises in the West Midlands and are fully equipped to hit the ground running. We have phones, printers, PCs, scanners and lovely L shaped desks with plenty of space for organising! We have 4 cabinets of stationery, and enough tea and coffee to keep us going each day!

If you are new to using a VA (Virtual Assistant) you might be wondering, WHAT can I outsource and HOW.

If you are a business owner it is quite normal, as you grow, to find you can’t manage to juggle all of the tasks that you have to do. When you were 6 months into your business and had 4 clients a month you had time to raise you invoices, order your stationary, network, design and publish posts on to social media, pay your suppliers, create a newsletter to email to clients, revamp your website content, chase up client 3 who forgot to pay your bill. You had time to draft letters to “old school” contact businesses you want to work with, you had your inbox well under control and everything was neatly stored in folders. I bet you even had a nicely organised system for your accounts – downloading statements and saving them in dropbox ready for collating together at year end for the accountant.

But as you grow, so do all of the above tasks, and you have a whole host of NEW tasks to do as well.

It’s exhausting, it’s time consuming and it doesn’t have to be that way!

How can you outsource:

What can you outsource:

The list is endless! But as a starting point have a look at this article by Chris Ducker who is a huge advocate for VA’s and the value they bring to your business.  We can help with most admin tasks, and if you have something that is specialised and we don’t cover it… we can introduce you to an associate who is a specialist in that area.

Our admin services include:

  • Drafting letters
  • File management
  • Checking supplier statements
  • Managing your inbox
  • Emailing leads
  • Scheduling social media posts
  • Research
  • Ordering supplies
  • Following up queries

If in doubt about what to outsource we would highly recommend having a discovery call with Lisa or Liz to run through where you are at the moment and how we can help.

Sometimes breaking it down to someone who doesn’t have any preconceived notions of your business can be just the ticket to that lightbulb moment where you suddenly realise what it is that has been grinding you down and sapping your energy away from more pressing matters.

If your inbox has 200+ emails to action and 2000+ emails read and unfiled. Picture those 2000+ emails tucked neatly away into an organised inbox filing system. And those 200+ emails to action – reduced to 75, as the rest have been taken care of by your VA and the remaining are all flagged for action systematically.

How lovely does that sound. Very.

Imagine you’ve just received a 2 star google review from an unhappy customer who has been trying to get in touch with you, but could never reach you. That is now the first thing people see when they check out reviews of your business. It isn’t the end of the world, but it isn’t something you’re happy about either!

With the right VA that can be avoided – they will have touched base with your customer by telephone, followed up by email and let you know what is needed of you and a timeframe to work with to keep your customer happy. They can even follow up on completed work and ask your customers to leave a review of the service they have received. And you can rest easy knowing you have delivered nothing less than a 5 star service all the way. With a little help from a VA.
